Introduction
In Bearish OS, creating and customizing workspaces allows you to set up tailored environments where you and your team can collaborate on tasks, projects, and ideas. The flexibility of the workspace structure ensures that each workspace can be customized to meet your specific needs, whether you're managing a simple to-do list or a complex, multi-phase project.
Creating a Workspace
To create a workspace, follow these simple steps:
Click "Create a Workspace": When you enter the Workspace Center, you'll see an option to create a new workspace. Click on the “Create a Workspace” button.
Choose a Name: Enter a name for your workspace. This will help identify the workspace easily, especially if you’re managing multiple projects. You can be as specific or creative as you’d like!
Add a Description (Optional): You can provide additional details about the workspace if needed. This is particularly useful for giving your team an understanding of the project’s goals or key focus areas.
Choose a Cover Image: You can either upload a custom cover image or choose from a set of pre-assigned images. The cover image serves as the visual representation of the workspace, making it easier to identify and distinguish from others.
Set Workspace Color: Bearish OS will assign a random color to the workspace by default, but you can customize it to your liking. Color coding your workspaces can help with organization, especially if you manage multiple projects at once.
Invite Team Members (Optional): Right from the creation step, you can invite others to collaborate in the workspace. You can grant them permission to view, comment, or edit, depending on their role in the project.
Once you’ve completed these steps, click "Create", and your workspace will be set up and ready to customize.
Customizing Your Workspace
Customizing a workspace is where you can make it your own. Bearish OS offers extensive customization options to ensure the workspace aligns with your team’s needs and project requirements.
1. Update the Workspace Name or Description
At any time, you can update the name or description of your workspace. This is helpful if the scope of the project changes or if you need to add more context for team members.
2. Change the Cover Image
The workspace’s cover image can be changed whenever you like. Simply click on the existing cover image, and you’ll have the option to upload a new one or select another from the image gallery.
3. Customize the Workspace Icon
Each workspace is assigned a default icon, but you can change this to something more relevant to the project. Choose from a range of emojis or icons, and even customize the color or shape to match the workspace’s theme or branding.
4. Adjust Colors
You can update the colors of the workspace for both the background and text, allowing you to create a visually cohesive space. This is especially helpful when managing several workspaces and needing quick visual differentiation.
5. Add and Arrange Workspace Tools
After creating your workspace, you can add various components to it. You can integrate items such as:
- Boards: Perfect for managing tasks in a Kanban-style layout.
- Checklists: Create simple to-do lists for task tracking.
- Docs: For writing and collaborating on detailed project documents.
- Wikis: To build a structured knowledge base.
- Decks: For creating and sharing presentations.
- Grids: Organize and manage spreadsheet-style data.
- Whiteboards: Use for brainstorming and visual collaboration.
Once added, these tools can be arranged within the workspace based on your preference. This arrangement can be saved as a template and applied to future workspaces to ensure consistent structure across similar projects.
6. Customize Workspace Pages
Each workspace has a main page, which serves as the central hub for all the tools and content added. You can customize this main page with:
- Rich Text: Add formatted text to introduce the workspace, outline project goals, or provide team updates.
- Images and Videos: Upload multimedia elements to make the workspace more engaging or to display relevant project content.
- Tables and Bullet Points: Organize information clearly within the workspace.
You can also include links to other parts of Bearish OS, such as specific documents, tasks, or boards, ensuring all resources are interconnected.
7. Add Widgets
Bearish OS offers widgets that can be added to your workspace main page. Widgets are flexible elements that provide quick access to critical information, such as task progress, calendar events, or even external resources. Customize widgets based on your project’s needs, and save them as part of your workspace template for reuse.
8. Share and Set Permissions
Sharing a workspace is easy, and you have full control over who can access it and what they can do within it. When sharing, you can assign the following roles:
- Viewer: Can view content but not make changes.
- Commenter: Can leave comments and feedback on workspace items.
- Editor: Can edit tasks, documents, boards, and more within the workspace.
You can adjust these permissions as the project progresses, giving team members more control when needed or limiting access for sensitive information.
9. Connect Workspace with Other Bearish OS Centers
Bearish OS allows you to connect your workspace with other centers such as Messaging, Calendar, and Video. You can schedule meetings, link tasks to calendar events, and access related messages or documents without leaving the workspace.
10. Save as a Template
Once your workspace is fully customized, you can save it as a template. This template can then be applied to future workspaces, ensuring consistency and efficiency when starting new projects.
Why Customize Your Workspace?
Customization allows you to tailor the workspace to your exact needs, ensuring that:
- The workspace fits your team's workflow, providing tools and layouts that make project management smooth.
- You stay organized, using visual elements like color-coding, icons, and templates to structure your workspace efficiently.
- Collaboration is streamlined, with team members having the right access to tools and resources, improving productivity and communication.
