The Contacts section of the Bearish OS CRM is designed to be your central hub for managing relationships with individuals that your company interacts with. It provides users with a flexible, customizable framework for storing and organizing contact details, tracking interactions, and building stronger relationships.

Key Features of Managing Contacts

  1. Adding Contacts

    • Manual Addition: You can manually add individual contacts by providing basic information like first name, last name, email, phone number, job title, company, and location. Additional fields like social media links, relationship strength, and associated groups or projects can also be filled in during contact creation.
    • Batch Imports: Import contacts in bulk via CSV or other supported formats. This feature is useful when migrating data from other CRM systems or consolidating contacts across multiple platforms.
    • Dynamic Contacts: Automatically create or update contacts through interactions in Bearish OS’s various centers (Messaging, Video, Calendar, etc.). The Dynamic Contacts feature ensures that every touchpoint is logged and reflected in the CRM.
  2. Customizing Contact Information

    • Default Fields: Each contact record includes default fields such as:
      • First Name, Last Name
      • Phone Number
      • Email Address
      • Job Title
      • Company
      • Location
      • Relationship Strength: A visual indicator that reflects the strength of the relationship based on the frequency and type of interactions.
    • Custom Fields: You can customize contact records by adding new fields to suit your business needs, such as customer IDs, numeric fields, ratings, date fields (e.g., birthdays, contract dates), or even checkboxes for marking certain conditions.
  3. Tracking Interactions and Activities

    • Every interaction with a contact is logged automatically. This includes emails, messages, video meetings, shared documents, and tasks.
    • Activity Log: View a detailed timeline of all interactions with a contact, including timestamps, type of interaction, and any associated notes or follow-up actions. For example, you can track when an email was sent, how long a video call lasted, or when a document was shared.
    • Communications: Bearish OS automatically tracks all forms of communication (emails, messages, calls) and logs them within the contact’s record, making it easy to review past conversations.
  4. Managing Relationships

    • Relationship Strength Indicator: Bearish OS automatically tracks the frequency and type of interactions with a contact to visually indicate the strength of the relationship. Over time, it identifies the user with the strongest relationship with that contact.
    • Groups and Tags: Organize your contacts into groups such as “Clients,” “Investors,” or “Suppliers” by using customizable tags. This allows for quick filtering and segmentation when managing contacts.
    • Associated Projects: Link contacts directly to ongoing projects or tasks within Bearish OS, ensuring that all relevant activities are connected to the individual.
  5. Viewing and Editing Contacts

    • Contact Dashboard: The contact’s dashboard provides a complete overview of their information, activity log, associated deals, and communication history. From here, you can also edit contact information or add new details as needed.
    • Contact Notes: Add notes to a contact’s profile to keep track of important details or insights gained from meetings, calls, or emails. These notes are saved as part of the contact record and can be shared across teams.
    • Audit Trail: Track any changes made to the contact’s profile, including edits to the information, new interactions added, or updates by other users.
  6. Permissions and Access Control

    • Role-Based Permissions: Access to contacts can be controlled through role-based permissions. Admins and managers can set full or limited access based on the user’s role within the organization.
    • Full Access: Users with full access can edit, update, and manage contacts, including assigning them to deals, projects, or groups.
    • Limited Access: Users with limited access can view basic contact information and activity logs, but cannot make changes or delete contacts.

Benefits of Managing Contacts in Bearish OS

  • Centralized Communication: By integrating contacts across Bearish OS centers (Messaging, Video, Calendar), you get a comprehensive view of every interaction and touchpoint.
  • Customizable Fields: Tailor the contact records to fit your specific business needs with flexible fields and relationship tracking.
  • Automatic Updates: With Dynamic Contacts, Bearish OS ensures that contact profiles are automatically updated with new interactions, saving time and reducing manual data entry.
  • Enhanced Collaboration: Teams can collaborate seamlessly by sharing notes, activity logs, and project connections tied to contacts.

By effectively managing your contacts within Bearish OS, you can nurture relationships, track every interaction, and maintain a detailed history of your business communications all in one place.
