Sharing Calendars and Managing Permissions

The Bearish OS Calendar Center allows users to share their calendars with others, providing flexible permissions to control access and collaboration. Calendar sharing is essential for teams, departments, and organizations looking to keep schedules aligned and manage events efficiently. Users can share calendars either through a shareable link or direct access and manage permissions at both the calendar and event levels.


Calendar Sharing Options


There are two main ways to share a calendar in Bearish OS:

  1. Shareable Link: A link that can be distributed to anyone, even external users, with configurable access levels (view-only or edit).
  2. Direct Sharing: Share directly with specific Bearish OS users within your organization or workspace, giving them specific permissions.
How to Share a Calendar:
  1. Access Your Calendar Settings:
    • Open the Calendar Center and select the calendar you want to share.
    • Go to the Settings of the selected calendar.
  2. Choose Sharing Method:
    • You can either generate a Shareable Link or choose Direct Sharing for Bearish OS users.
Shareable Link:
  • Generate a unique link that allows anyone with the link to access your calendar.
  • Choose the access level for users who receive the link:
    • View Only: Users can only view events and details but cannot make any changes.
    • Edit Access: Users can create, modify, or delete events in the shared calendar.
Direct Sharing:
  • Select specific users within Bearish OS to share the calendar with.
  • Assign different levels of access for each user:
    • Full Control: Allows users to manage the calendar, including creating, editing, and deleting events.
    • Edit Access: Users can add, edit, and delete events but cannot manage the calendar settings.
    • View Access: Users can view the calendar and events but cannot make any changes.
Example:
  • A manager shares a Team Calendar with their team using Direct Sharing. Team leads are given Edit Access, allowing them to manage events, while other team members are given View Access to monitor the schedule.


Managing Calendar Permissions

Permissions help control what each user can do with the calendar. Permissions are divided into Calendar Permissions (general permissions for the entire calendar) and Event Permissions (permissions for individual events).

Calendar Permissions:
  1. Full Control: Users with full control can manage every aspect of the calendar, including its settings, events, and permissions.
  2. Edit Access: Users can create, modify, or delete events but cannot adjust the calendar's settings.
  3. View Only: Users can view the calendar and its events but cannot make any changes.
Event Permissions:

When sharing a calendar, you can also manage permissions for individual events within the calendar.

  1. Create Events: Users with event creation rights can add new events to the calendar.
  2. Edit Events: Users can modify existing events, such as changing the date, time, or guest list.
  3. Delete Events: Users can remove events from the calendar.
  4. View-Only Events: Users can see event details without making any changes.
How to Set Permissions:
  1. Go to the Calendar Settings:
    • From the calendar you’ve selected, navigate to Permissions in the settings menu.
  2. Assign Roles:
    • Assign roles (e.g., full control, edit access, view access) to users or groups who will access your calendar.
  3. Customize Permissions:
    • For specific events, you can adjust permissions at the event level, giving certain users more control over particular meetings or tasks.
Example:
  • A project lead gives Edit Access to their team for a shared project calendar, allowing team members to schedule meetings and tasks. For sensitive events, the project lead can restrict access to View Only for certain users.

Sharing iCal and ICS Calendars

Bearish OS supports importing and subscribing to external calendars using iCal or ICS formats, allowing users to view and manage third-party calendars alongside their Bearish OS calendar.

How to Share an iCal/ICS Calendar:
  1. Generate iCal/ICS Link:
    • From your Bearish OS calendar, generate an iCal or ICS link that can be shared externally.
  2. Subscribe to External Calendars:
    • Users can subscribe to external calendars (such as Google Calendar or Outlook) by pasting the iCal/ICS link into their Bearish OS calendar settings.
    • This subscription is read-only, and external calendars will automatically update when changes occur in the original calendar.
Example:
  • A user subscribes to their Google Calendar within Bearish OS via an ICS link, allowing them to view all their meetings and tasks from one unified calendar interface.

With flexible sharing and permission options, the Bearish OS Calendar Center provides a robust way for users to collaborate, manage their time, and maintain control over their schedules. Whether it's for internal teams or external partners, the calendar sharing features ensure that the right people have the appropriate access.
